The Town of LaSalle has taken a proactive, data-driven approach to managing its infrastructure, fleet, and public works operations. By implementing Citywide Maintenance and integrating supporting technologies, LaSalle has improved workflow efficiency, cost tracking, inspections, and staff adoption. With live dashboards, mobile tools, and automated communication, the Town has built a connected asset management system that supports transparency, compliance, and long-term planning.

Solution

Centralized Asset Management with Citywide Maintenance

LaSalle adopted Citywide Maintenance as a central hub for managing asset and fleet data. By integrating tools like Geotab, Microsoft Teams, and the Town’s accounting system through the Citywide API, LaSalle was able to automate routine tasks, alerts, and communications—reducing duplicate work and improving visibility across departments. Once configured, the API allows Citywide to exchange information with other systems automatically—so updates like maintenance costs are shared without the need for manual entry.

Linear and Bulk Asset Management with GIS and Route Patrol

For linear assets like roads and sidewalks, the Town uses Citywide Route Patrol to support routine patrols, inspections, and deficiency tracking. It’s also used for special seasonal tasks like checking basketball nets before winter or monitoring street lighting and trees. Visual dashboards and maps provide staff with clarity on what’s been completed and what’s outstanding.
LaSalle is also rolling out Route Patrol AI, which uses GPS data to automatically validate patrol coverage, improving compliance without paperwork.

Workflow Automation and Notifications

Custom workflows route service requests and work orders to the right staff at the right time. Microsoft Teams notifications and calendar tasks keep everyone informed, improving accountability and minimizing delays.

Fleet Maintenance and Simplified Cost Tracking

With a fleet of over 80 vehicles, LaSalle uses a streamlined system to easily track maintenance costs. Each expense is tied to a unique purchase order that includes the work order number, unit ID, and GL code. This approach gives staff confidence in the accuracy of each cost entry, while helping the maintenance team monitor work completed and ensure vehicle safety over time.

Managing Point Assets with Bulk Work Orders

LaSalle simplifies the management of high-volume assets like catchbasins and fire hydrants using bulk work orders. The municipality is divided into service areas, and staff use GIS filters to isolate specific zones, generate work orders, and track completion. This area-based system visually tracks progress for better planning and monitoring.

Mobile Tools and Offline Inspections

The Town uses the Citywide Mobile app to complete custom inspection work orders in the field—including condition ratings, photos, and scheduled follow-ups. The app supports offline functionality and automatically syncs data once reconnected to the internet, ensuring timely, accurate documentation and greater efficiency.

Driving Adoption Through Training and Peer Support

PSD Citywide provided tailored, hands-on training focused on simplifying tasks and showing staff how the software supports their work. Peer-led support and visual dashboards encouraged adoption among staff.

Contractor Coordination via Automation

To improve coordination with contractors, LaSalle implemented a workflow that automatically sends work order PDF summaries when saved in a designated folder. This eliminates manual steps and ensures that partners receive accurate, timely updates with no additional effort.

Data Centralization and API Training

As part of ongoing improvements, LaSalle launched a project to clean up and centralize its asset data. PSD Citywide also provided API training documentation to help the Town securely connect Citywide Maintenance with third-party tools on their own, improving accuracy and streamlining future automation.
